Overview

A visitor management kiosk is a self-service check-in system placed at building lobbies and entrances, automating the capture of visitor identity, photo, and purpose. The kiosk reduces administrative overhead and improves security by digitally logging every visitor, printing photo ID badges, and maintaining an auditable record for compliance and incident investigation.

The kiosk combines a large touchscreen for guided check-in, an ID scanner that reads driver licenses and passports, a camera for visitor photos, and a thermal badge printer. A visitor approaching the kiosk is guided through a simple workflow: selecting whom they are visiting (from a dropdown or typed name), scanning their ID for verification, capturing a photo, and printing a badge. The completed badge includes the visitor's name, photo, date, time, host employee, and a barcode for rapid check-out.

How it works

A visitor approaches the Touchscreen Display and the Main Processor displays a welcome screen with instructions. The visitor enters their name and selects from a list of employees or departments they are visiting. The system checks a building directory and/or guest list synced from the cloud via the Network Connectivity module.

The kiosk prompts the visitor to scan their ID using the ID Scanner Module. The visitor inserts their driver license or passport into the Document Scanner Engine slot. The LED Illumination illuminates the document, and the scanner captures a high-resolution image. The processor runs optical character recognition to extract name, date of birth, address, and license number. This data is automatically populated into the check-in form, reducing typing errors.

The Camera Module is activated, and the LED Flash/Light provides illumination for a clear facial photo. The camera captures a portrait and displays a preview on the touchscreen, allowing the visitor to retake if needed.

Once the visitor approves, the Main Processor formats the data and sends commands to the Badge Printer. The Card Feed Motor advances a blank Badge Card Stock badge card into position. The Thermal Printhead prints the visitor's name, captured photo, date, time, host employee, and a unique barcode all at 300 dpi in seconds. The Card Cutter separates the finished badge from the stock or rolls and ejects it.

The kiosk displays a confirmation message and prints a receipt if desired. The Main Processor logs the entire transaction (name, ID scanned, photo, host, time) to the local SSD Storage and syncs to a cloud database via Gigabit Ethernet or WiFi 6 Module. If the connection is unavailable, the kiosk queues the record and syncs when connectivity returns.

At checkout, the visitor scans the barcode on their badge with the Barcode Reader mounted on the kiosk face, automatically logging the departure time. The system alerts building security if a visitor's badge is scanned after expiration or if a breach is detected.

The Cabinet & Stand encloses all components with Polycarbonate Panel guards protecting them from impact and tampering. The Cooling Fan maintains internal temperature below 40°C for continuous 24/7 operation. The UPS Battery Pack allows the kiosk to complete check-in transactions and sync data to the cloud even if power is lost, then gracefully shut down.
